Position Overview:

Youth Utilizing Power and Praise Organization (YUPP), a dynamic nonprofit committed to empowering youth through faith-based initiatives, is seeking a highly organized, resourceful, and professional Executive Administrative Assistant. This role supports the Executive Director in both administrative and communications capacities, serving as a key liaison between leadership and internal/external stakeholders. The position is hybrid, requiring a combination of remote work and on-site presence as needed.

Key Responsibilities:

Administrative Support

  • Manage the Executive Director’s calendar, appointments, and travel logistics
  • Coordinate internal and external meetings, including board and community partner meetings
  • Draft, review, and edit correspondence, reports, meeting minutes, and presentations
  • Prepare agendas and follow up on meeting action items
  • Process reimbursements, invoices, and assist with budget tracking
  • Maintain organized filing systems and manage electronic records
  • Provide general office support, including supply ordering and mail handling when on-site

Communications & Liaison Duties

  • Serve as the primary point of contact between the Executive Director and internal staff, board members, volunteers, donors, and community partners
  • Draft and disseminate official communications, newsletters, memos, and announcements on behalf of leadership
  • Coordinate and schedule stakeholder engagement activities and follow-up communications
  • Manage contact lists and support donor/stakeholder relationship management efforts
  • Support planning and execution of community events, virtual town halls, and outreach initiatives

Qualifications:

  • Minimum of 3–5 years in an executive assistant or administrative support role, preferably in a nonprofit or mission-driven environment
  • Exceptional written and verbal communication skills
  • High level of professionalism and discretion with confidential information
  • Strong organizational, multitasking, and time-management skills
  • Proficient in Microsoft Office Suite, Google Workspace, and virtual communication tools (e.g., Zoom, Teams)
  • Experience using CRM or donor management systems a plus

  • Ability to work both independently and collaboratively in a hybrid environment
  • Familiarity with nonprofit governance, fundraising, or program coordination

Work Environment & Schedule:

  • Hybrid schedule: part remote, with on-site presence as needed (e.g., weekly meetings, events, or administrative tasks)
  • Occasional evening or weekend hours for events or deadlines
